The Government Contracts Manager/Bid Manager must be sharp, and knowledgeable about the details and potential benefits of any contract and must successfully adjust to the needs of GSS business specifically relating to janitorial and security in order to continue to grow GSS business. This position must be skilled in securing janitorial and security contracts at the local, state, and federal government level. The Government Contracts Manager/Bid Manager is responsible for researching, managing, and obtaining various contracts that GSS is seeking, negotiating, and entering. Consistently maintain and research new processes to improve efficiency.Prepare and sign off on funding packages with appropriate authorization.Manage day to day activities within the task queue, emails and in person questions with team members, sales reps and upper management.Prepare and send funding packages out to external debt sources to ensure they receive all original documentation within 24 hours.Validate A/R payment information over the phone with vendors prior to releasing payment to prevent financing a fraudulent account.
Collaborate with external debt sources to ensure everything provided has met requirements. Verifying with customers by phone the status of funding and payment processing. Work with Sales, Credit, Accounting, and Portfolio Management to ensure adherence to credit approvals, policies, and established guidelines. Provide stipulations list of needed items required for funding. Run UCC Searches and review for any blanket lien filings. Manually file UCC1, UCC3 and Fixture Filings. Contact insurance agents to obtain certificates of liability and property coverage that meet the minimum requirements for financing each transaction. Review documentation for accuracy for all leases/loans for the direct sales channel to insure it is properly executed in time of funding. Summary:The Contract Manager is responsible for maintaining the day-to-day funding activities including lease and loan documentation, reviewing incoming documentation for accuracy, fund lease and loan transactions within metric timeframes, and communicate with sales representatives, customers, and vendors. Maintain records for correspondence and documentation in relation to established contracts and those in progress.
